Don’t send that Email now!

Before you hit send on that next email, perhaps you should run down this email checklist, just to be sure:

  1. Have I included the line – “Please save the planet. Don’t print this email”? (If so, please delete the line and consider a job as a forest ranger or flight attendant)
  2. Is it going to just one person?
  3. If it’s going to a group, have I thought about who is on my list?
  4. Did every person on the list really and truly opt in? Not like sort of, but really ask for it?
  5. So that means if I didn’t  send it to them, they’d complain about not getting it? If they wouldn’t complain, take them off!
  6. Am I angry while writing the email? (If so, save as draft and come back to the draft after 24 hours)
  7. Could I do this note better with a phone call?
  8. Am I blind-CCing my boss? If so, what will happen if the recipient finds out?
  9. Is there anything in this email that I will be embarrassed of, if it is published in tomorrow’s “Times of India” edition. If so delete.
  10. Is any portion of the email in all caps? (All caps mean you are shouting at the person. Better avoid it)
  11. Is it in black type at a normal size?
  12. Do I have my contact info at the bottom? (If not, consider adding it)
  13. Could this email be shorter?
  14.  Are there any emojis involved?  or other emoticons involved? (If so, delete. Keep them for WhatsApp only)
  15. Am I forwarding someone else’s email? (If so, will they be happy when they find out?)
  16. Am I forwarding something about religion (of mine or someone else’s? If so, delete immediately)
  17. Am I forwarding something about a virus or worldwide charity effort or other potential hoax? (If so, please check to see if it’s actually true. A better option is not to send it)
  18. Did I check my spelling or grammar before sending it ? If not, why not? Wrong spelling and bad grammar gives an instant cue about your education. Why are you not using “Grammarly”?
  19. Is there a long legal disclaimer at the bottom of my email? Why?
  20. Does the subject line make it easy to understand what’s to come and likely it will get filed properly?
  21. If I had to pay Rs 100  to send this email, would I still send it?
